Patient Registration Software for Hospitals

Every patient gets one MR (medical record) number at first registration, and front-desk staff search by MR number, name or phone to reuse that same record for every OPD visit, IPD admission, pharmacy sale and lab order that follows.

In short

Patient registration assigns a permanent MR number on first visit and reuses that one record everywhere else in the hospital, so nobody re-enters the same demographics twice.

Who uses it
Front-desk receptionists at registration; every other department (OPD, IPD, pharmacy, lab) reuses the record they create.
What it records
Name, date of birth or age, gender, contact number, address and occupation (from a configurable list).
What it prints / exports
No separate registration printout — the MR number and demographics carry straight onto OPD tokens, admission papers, pharmacy and lab bills.

What you get

  • Fast front-desk intakeCapture a patient’s demographics and contact details in a few steps, so a busy front desk can register walk-ins and returning patients without long queues building up.
  • A unique MR number for every patientEach patient is assigned one medical record (MR) number that stays with them across every visit. Staff can pull up a patient’s record instantly by searching MR number, name, or phone number.
  • One record reused everywhereThe same patient record carries through to OPD consultations, IPD admissions, pharmacy sales, and lab orders, so demographic and contact details are entered once, not once per department.
  • Search before you registerFront desk searches by MR number, name or phone before creating a new record, so the same patient doesn’t end up registered twice under two different MR numbers.

How it works

  1. Search before creating

The front desk searches by MR number, name, or phone to check whether the patient already has a record, avoiding duplicate registrations.

  2. Capture demographics

For a new patient, staff record name, age/date of birth, gender, contact, address, and occupation (from a configurable list), and a new MR number is assigned automatically.

  3. The MR number becomes the patient’s key

That MR number is now the one identifier every future visit searches on — OPD, IPD, pharmacy and lab all resolve back to the same patient record through it.

  4. Reuse the record everywhere

The same patient record is used to open an OPD visit, start an IPD admission, ring up a pharmacy sale, or place a lab order — without re-entering any details.

Who uses it

  • Receptionist / front-deskRegister new patients quickly and pull up existing ones with a search instead of a paper file.
  • AdminRely on one consistent set of patient demographics across OPD, IPD, pharmacy, and lab records.
  • Doctors / nursesOpen a consultation or admission for a known patient and find their existing MR record already there, with nothing to re-collect.

In detail

Search first, to avoid duplicate MR numbers

Registration is built around one search box that checks MR number, name and phone before a new record is created. For a returning patient — even one who doesn’t remember their MR number, or gives a slightly different spelling of their name — searching by phone number is usually the fastest way to find the existing record rather than starting a fresh one.

Searching first is the main defence against a patient ending up with two MR numbers. Registration also warns when a patient with the same name and phone already exists and asks staff to confirm before creating another record, and a hospital admin can mark an accidental second record as a duplicate of the one kept.

What’s captured today, and what isn’t yet

Registration captures the demographics every department needs — name, date of birth or age, gender, contact number, address and occupation. The registration screen also shows Aadhaar and ABHA fields, but as of today they aren’t wired to save from that screen. When an identifier is present on a patient’s record, Trisvio stores it encrypted (AES-256-GCM) rather than as plain text — but front-desk capture of Aadhaar or ABHA through the registration form isn’t live yet.

There’s no ABDM registry integration either way: an ABHA number, if one is ever recorded on a patient, stays inside Trisvio and isn’t synced to any external health-data exchange.

Frequently asked questions

What is an MR number and why does every patient need one?

An MR (medical record) number is a unique identifier assigned to each patient at registration. It stays with the patient across visits and lets staff pull up their record instantly by MR number, name, or phone — across OPD, IPD, pharmacy, and lab.

Can registration capture a patient’s Aadhaar or ABHA number?

The registration screen shows Aadhaar and ABHA fields, but they aren’t yet wired to save from that screen. Any identifier that is present on a patient record is stored encrypted (AES-256-GCM), never as plain text — and there’s no integration with the ABDM registry, so nothing syncs outside Trisvio.

Do I have to re-register a patient for every visit?

No. A patient is registered once, and that same record — with their MR number — is reused for every future OPD visit, IPD admission, pharmacy purchase, or lab order, so front-desk staff never re-enter the same details twice.

What happens if a patient is accidentally registered twice?

Searching by MR number, name or phone before creating a new record is the main defence, and registration warns when the same name and phone already exist. If a second record is created anyway, a hospital admin can mark it as a duplicate of the record kept, with a reason; nothing is merged, new activity on the duplicate is refused, and the marking can be undone.
